Privacy Policy

This Privacy Policy applies to the Routerstack NODE Android application (available on Google Play), the RouterStack web application at routerstack.net, the RouterStack client portal, and the RouterStack contractor portal (collectively, the "Services").

By using any of the Services, you agree to the collection and use of information as described in this policy.

1. Who we are

The Services are operated by Routerstack Services Corp, a company providing on-site network and data centre field services across New Zealand, Australia, and Canada.

2. What data we collect

Depending on which Service you use and your role, RouterStack may collect and process the following categories of data:

Account and identity data

• Name, email address, phone number
• Company or contractor affiliation and user role
• Login credentials and authentication / session information

Client data

• Company details, site details, billing or operational contact details
• Job booking details, site access instructions

Contractor data

• Profile details, skills, equipment, toolkits, and certifications
• Regions and coverage areas, availability and scheduling information
• Training and compliance status, background-check status where applicable

Job and operations data

• Job bookings, service level, required skills, site assignment, and schedule
• Job status updates, notes, scope of work, contractor offers, and job history
• Uploaded documents, job photos, access packs, and completion evidence
• Audit trail and operational records

Health and safety data

• Site hazards, job-level health and safety checklists, fit-for-work confirmations
• Stop-work events, sign-offs, timestamps
• Incident and near-miss records and related compliance records

Files and documents

• Uploaded IDs, certifications, insurance documents, and job documents
• Site photos, completion photos, and other files users upload through the Services

Technical data

• Device type, operating system version, and app version
• App interactions, diagnostics, and crash or error logs
• IP address, security logs, and similar operational data

Location and site data

RouterStack uses job and site location information (addresses) provided by users or clients for the purpose of scheduling, dispatching, and completing field work. The Routerstack NODE Android app does not continuously track or collect precise device GPS location.

3. How we use data

RouterStack uses the data we collect to:

• Create and manage client and contractor accounts
• Operate the client portal, contractor portal, and Routerstack NODE app
• Book, schedule, dispatch, manage, and complete field jobs
• Match contractors to jobs based on region, skills, availability, site association, service level, and compliance requirements
• Maintain safety, audit, compliance, training, and operational records
• Provide support and operational communications
• Improve reliability, security, and app functionality
• Meet legal, tax, safety, contractual, and compliance obligations across the jurisdictions in which we operate

4. When we share data

RouterStack may share relevant data with:

• RouterStack staff and administrators who need access to operate the Services
• Clients — only relevant job, site, contractor assignment, completion, and compliance information needed for service delivery
• Contractors — only relevant job, site, access, safety, and client instructions needed to perform assigned work
• Service providers acting on RouterStack's behalf (see Section 5 below)
• Legal, regulatory, or safety authorities where required by applicable law or necessary for compliance

Contractor information shared with clients

When you accept and are booked for a job through RouterStack NODE, certain information from your contractor profile is shared with the client who booked the job, so they can identify, contact, and coordinate with the contractor attending their site. This information includes your name, email address, phone number, contractor ID, profile photo, and city/region.

While you are en route, your approximate and precise location and estimated time of arrival are shared with the client to provide live ETA updates. Photographs you capture during the job (including site, rack, device, and before/after photos) are also shared with the client as part of the job record.

This sharing occurs only after you accept a job and is necessary to deliver the service. We do not sell this information or share it with third parties for advertising or marketing.

We do not sell personal or sensitive user data.

5. Third-party service providers

RouterStack relies on third-party platforms and services to operate the Services. These providers may process data only as required to deliver their services to RouterStack. Current service providers include, but are not limited to:

• Cloud hosting and infrastructure — servers, databases, and storage providers used to run the Services
• Neon (PostgreSQL) — serverless database hosting for structured operational data
• Resend — transactional email delivery
• Zoho — including Zoho People, Zoho CRM, Zoho Desk, and Zoho Books, used for contractor profile management, customer relationship management, support, and billing synchronisation
• Background check providers — Certn (Canada) and Checkmate (New Zealand, Australia) where background screening is required for contractors
• Cloudflare — cloud hosting, content delivery, and storage used to operate the Services
• OpenAI — voice-note transcription processing; data is processed only on RouterStack's behalf and is not used by OpenAI for its own purposes
• Analytics and diagnostics tools — used to monitor app reliability, performance, and usage
• Google Play — app distribution for the Routerstack NODE Android application

Each provider is subject to its own privacy terms. RouterStack takes reasonable steps to ensure providers handle data appropriately and only for the purposes for which they are engaged.

6. Security

RouterStack uses reasonable technical and organisational measures to protect data from unauthorised access, loss, misuse, alteration, or disclosure. These measures include:

• Data transmitted using HTTPS / encryption in transit where applicable
• Access restricted by role, session, and API key controls
• Credentials and secrets not intentionally exposed to the browser
• HTTP security headers, rate limiting, and input validation on server-side APIs

No method of transmission over the internet or electronic storage is completely secure. While we strive to protect your data, we cannot guarantee absolute security.

7. Data retention

RouterStack retains data for as long as accounts are active and as needed to operate the Services, manage job records, and meet legal, tax, safety, audit, contractual, fraud-prevention, and compliance obligations.

Some job, invoice, safety, compliance, and audit records may be retained for extended periods where required for operational, legal, or regulatory reasons even after an account is closed or a deletion request is received.

8. Account and data deletion

You may request deletion of your RouterStack account and associated personal data at any time. To submit a deletion request, visit our dedicated page:

We will process deletion requests as soon as reasonably practicable. Some records — such as job history, invoices, health and safety records, audit logs, and records required for fraud prevention, compliance, tax, or legal obligations — may be retained after deletion in accordance with applicable law.

9. International data processing

RouterStack operates across New Zealand, Australia, and Canada. Data may be processed or stored in servers located outside your country of residence. By using the Services, you acknowledge that your data may be transferred to and processed in jurisdictions with different data protection laws than your own.

10. Children's privacy

The Services are not intended for children and are not directed at any person under 13 years of age. RouterStack does not knowingly collect personal information from children. 11. Changes to this policy

We may update this Privacy Policy from time to time. When we make material changes, we will update the "Last updated" date at the top of this page. Continued use of the Services after any changes constitutes your acceptance of the updated policy. We encourage you to review this page periodically.
